Refund & Cancellation Policy

1. General Overview and Binding Agreement

This Refund and Cancellation Policy governs all purchases made through Access Fire Solutions (“AFS”, “we”, “our”, “us”), including but not limited to online courses, digital templates, reference materials, and virtual training events.

By executing a transaction with AFS, you acknowledge that you have read, understood, and explicitly agreed to these financial terms. AFS operates in compliance with the Alberta Consumer Protection Act. Due to the proprietary, digital nature of our Learning Management System (LMS) and intellectual property, AFS enforces a strict, tiered cancellation policy.

All approved refunds will be issued exclusively to the original payment method used for the transaction. AFS does not issue cash or cheque refunds.

2. Digital Templates and Reference Materials

This section applies to all downloadable products, including but not limited to Fire Safety Plans, inspection checklists, standard operating guidelines, and digital study guides.

  • Strict No-Refund Policy: Due to the immediate access, replicability, and digital nature of these products, all sales of digital products and reference materials are final and non-refundable.
  • Once a transaction is processed and a download link is generated or emailed, the product is deemed fully delivered and consumed. No exceptions will be made.
3. Online, Self-Paced Certification Courses

AFS provides premium, self-paced certification tracks utilizing proprietary AI-assisted evaluations and licensed materials. Refunds for online courses are strictly governed by the user’s access status and the date of purchase.

3.1. Pre-Access Cancellation (The 14-Day Cooling-Off Period)
If you purchase an online course and wish to cancel before accessing the content, you are eligible for a refund subject to the following strict conditions:

  • Written notification of withdrawal must be sent to info@accessfire.ca within fourteen (14) calendar days of the original purchase date.
  • The student must not have logged into the AFS LMS, accessed the course dashboard, or viewed any course materials.
  • Bulk pre-access cancellations may be subject to a $25.00 CAD non-refundable administrative processing fee per student, which will be deducted from the total refund amount.
  • After 14 calendar days from the purchase date, no refunds will be issued under any circumstances, regardless of whether the course has been accessed.

3.2. Post-Access Cancellation (Zero Refund Policy)
AFS employs a strict “Access Equals Consumption” policy for all digital learning environments.

  • Once a student has logged into the AFS LMS, clicked “Start Course,” downloaded any syllabus/material, or accessed any course material, the tuition is 100% non-refundable.
  • Logging into the system constitutes the immediate digital delivery of services. Non-attendance, failure to complete the course, or failure to pass cognitive/practical exams does not constitute grounds for a refund.
4. Course Access Timelines and Expiration

To ensure students are trained on the most current Alberta Safety Codes and NFPA standards, all AFS self-paced courses have a strict enrollment validity period.

  • The Countdown Begins at Purchase: The allotted timeframe to complete a course (e.g., 90, 180, or 365 days, as specified on the individual course registration page) begins immediately on the date of purchase, not the date the student first logs in.
  • Expiration: It is the sole responsibility of the student to commence and complete all modules, quizzes, and practical evaluations within this timeframe. Failure to start or complete the course before the expiration date will result in automatic revocation of LMS access.
  • Expired courses are considered abandoned and are not eligible for refunds or free reinstatements.
5. Live Virtual or In-Person Training Events

For scheduled, instructor-led virtual or in-person training sessions:

  • Cancellations 30+ Days Prior: Written cancellations received more than 30 calendar days before the event start date are eligible for a full refund, minus a $75.00 CAD administrative fee.
  • Cancellations Less Than 30 Days Prior: No refunds will be issued for cancellations made less than 30 days before the event.
  • No-Shows: Participants who fail to attend a scheduled event without prior written notice forfeit 100% of their registration fees.
6. Course Cancellations by AFS

AFS reserves the right to cancel, postpone, or reschedule any course or live event due to low enrollment, instructor availability, or unforeseen technical/operational circumstances.

  • If AFS cancels a course, registered participants will be notified immediately and offered the choice of a 100% full refund or a transfer to the next available course date.
  • AFS is not responsible for any secondary costs incurred by the student or employer (e.g., travel, lost wages) due to a course cancellation.
7. Course Transfers and Extensions

AFS recognizes that extenuating professional or medical circumstances may arise that prevent a student from completing their course within the allotted timeframe.

  • Transfers: A sponsoring employer may request to transfer an un-accessed course registration to another individual within the same organization. This request must be made in writing within the original 14-day cooling-off period. A $50.00 CAD transfer fee applies.
  • Extensions: If a student requires more time to complete a course before it expires, they may request a one-time, 30-day course extension. Extension requests must be submitted before the course expiration date, are evaluated on a case-by-case basis, and if approved are be subject to a standardized prorated extension fee. Once a course has expired, extensions cannot be granted.
8. Third-Party, Employer, and Government Funding

If a student’s tuition was paid by a third party (e.g., a municipal fire department, corporate employer, or government assistance program:

  • Any eligible refunds will be returned directly to the original funding source/payer, not to the individual student.
  • If a student withdraws or is expelled for violating the AFS Honour Code, the sponsoring organization will be notified immediately.
9. Chargebacks, Disputes, and Fraudulent Claims

AFS takes financial fraud and intellectual property theft seriously.

  • If a student or organization initiates an unauthorized credit card chargeback or payment dispute after accessing AFS course materials, AFS will immediately suspend the user’s account and lock all course access.
  • AFS will submit comprehensive LMS audit logs (including IP addresses, login timestamps, and video evaluation records) to the financial institution to contest the chargeback.
  • Revocation of Certification: If a chargeback is initiated after a certificate of completion has been issued, AFS reserves the right to permanently invalidate the certificate and notify the relevant accrediting bodies and the student’s employer that the credential is no longer in good standing.
  • Accounts suspended due to fraudulent chargebacks will be permanently banned from the AFS platform.
10. Future Regulatory Compliance

AFS is committed to the highest standards of educational compliance. In the event that AFS transitions to a licensed Private Career College under the Private Vocational Training Act of Alberta, any statutory refund formulas mandated by the Government of Alberta will supersede conflicting clauses in this policy for applicable vocational programs. Until such designation is formally applied, this commercial policy remains in full legal effect.
